Donor management

Every gift creates or updates a donor record automatically.

Donor records in WordPress

The moment a donation completes, Donor Merchant files it: new supporters get a donor record, returning supporters (matched by email) get their record updated and their history extended. You never enter data by hand.

For each donor you see:

  • Name, email, and phone
  • Lifetime giving total
  • Number of completed gifts
  • Date of their last donation
  • Recurring subscription linkage
  • Tributes and personal notes from their gifts

Search and filters

The Donors and Donations screens work like the WordPress tables you already know: search by name, email, or transaction ID; filter donations by status (completed, awaiting payment, pending, processing, failed, refunded); sort by amount, date, or lifetime total. Each donation shows its fund, dedication, employer match and Gift Aid when they apply.

Exports

One click exports every donor or donation to CSV, however many you have - ready for Excel, Google Sheets, your mail platform, or a full CRM when you grow into one. It's your data; the export button proves it.

Thank your top donors quarterlySort donors by lifetime total, export, and send personal notes to your top 20. It's the highest-ROI hour in fundraising.

Privacy

Donor records live in your WordPress database - not on a third-party platform. Deleting a donor removes their donation history with them, which makes honoring data-deletion requests straightforward. Gift Aid declarations are kept, because HMRC requires charities to keep them after a claim.
