Email receipts & notifications

Six emails, each with its own subject, heading and message, in your logo and colors. Preview them live and send yourself a test.

Receipts

The receipt is your first thank-you - and for many donors, documentation they'll want later. Donor Merchant sends one automatically the moment a payment completes, and never sends duplicates. Recurring renewals get their own "Thank you for your continued support" email instead of a repeat of the first receipt.

Each email has its own subject, heading and message, with placeholders such as:

PlaceholderBecomes
{donor_name} / {first_name}The donor's name
{amount}Total charged, formatted with currency
{donation_amount}Gift amount before fee recovery
{frequency}One-time, Weekly, Every 2 weeks, Monthly, Quarterly, Yearly
{date}Donation date in your site's format
{transaction_id}Gateway transaction reference
{designation}The fund the donor chose
{receipt_link}Link to the printable receipt
{organization}Your organization name

Six emails, one Email tab

Settings → Email works like WooCommerce's: a list of emails, each switched on or off, with its own Manage screen.

  • Donation receipt and Recurring gift receipt to the donor
  • Offline gift instructions when a donor picks check or bank transfer
  • New donation and Monthly summary to you, sent to one or several addresses
  • Donor portal sign-in link (always on)

Each one can be HTML or plain text, with an optional donation details table. One template covers them all: logo, header alignment, font, footer text and five colors, starting from your form's accent color and button shape. Set the From name, From address and Reply-to. The live preview (desktop or mobile) and Send a test email both use your unsaved changes. Existing receipt text is kept when you upgrade.

Admin notifications

Each completed gift also emails you (toggle it off any time): donor, amount, frequency, payment method, transaction reference - plus the fund, tribute, employer match, Gift Aid and the donor's personal note when present, so acknowledgments never slip. Reply to it and your answer goes to the donor.

Deliverability tipWordPress mail is only as reliable as your host. If receipts land in spam, install any SMTP plugin (WP Mail SMTP, FluentSMTP) and Donor Merchant's emails will ride along automatically - no extra configuration.

For developers

Developers can filter the receipt before it sends - subject, body, and headers - via the donor_merchant_receipt_email filter. Customization guide →
